Description
WCAAA is seeking a detail-oriented and collaborative CHCP Operations Assistant to provide operational and administrative support for the agency’s Client Management System (CMS) and related data systems. This position supports multiple programs, including CHCP, ABI, MFP, and CFC, and works closely with the CHCP System Administrator, care managers, and leadership to ensure accurate data management, efficient workflows, and compliance with DSS requirements.
The ideal candidate is organized, adaptable, and comfortable working with data systems in a fast-paced, mission-driven environment.
Key Responsibilities
- Assist with daily administration and maintenance of the Client Management System (CMS), ensuring workflows align with organizational processes
- Support data entry, client profile creation, record updates, and data corrections to maintain system accuracy
- Maintain provider directories and department notifications used in person-centered care planning
- Generate reports for care management, finance, quality assurance, and leadership as directed
- Respond to phone and email inquiries related to CHCP programs and route issues appropriately
- Assist with authorizations, eligibility, billing-related data, and record updates in collaboration with care managers and finance staff
- Review maintenance reports to identify and correct incomplete or inconsistent data
- Provide coverage support for administrative and system management tasks as needed
- Assist with process improvement initiatives and compliance with DSS procedures
- Support quarterly and periodic reporting, including MFP reimbursement submissions
- Document appropriately in client progress notes and assist with preparation for DSS audits
- Create and maintain department forms, packets, and informational tools
- Support departmental projects, especially those involving technology, data analysis, and workflow improvements
- Collaborate with IT and the System Administrator to troubleshoot and optimize CMS, mobile tools, and database processes
Grievances & Appeals Support
As part of WCAAA’s commitment to fair and thorough review of grievances and appeals, this role may assist with:
- Attending DSS hearings when requested
- Documenting grievances and outcomes
- Preparing summaries and documentation for Fair Hearings, including client reevaluations as requested by DSS
Requirements
- Associate degree preferred; High School Diploma or GED required with at least two years of relevant experience
- Experience with data systems in nonprofit, healthcare, or social service settings preferred
- Strong organizational, time management, and customer service skills
- Ability to manage multiple priorities and meet deadlines
- High attention to detail and accuracy
- Proficiency with or willingness to learn Salesforce, Excel, and database management systems
- Valid driver’s license, reliable vehicle, and insurance required; travel throughout 41 towns is required
- Ability to carry and operate a laptop (approximately 10 lbs)
